Why we still like QuickBooks for our SME Business Clients!

August 26, 2025

Background

As mentioned in our last Blog on Xero, we often get asked why we use QuickBooks with our clients, and not some of the other ‘flavour of the month’ finance software out there.

And again, the short answer is?

QuickBooks is actually a widely used software by our Clients in the UK and Ireland and (like Xero) continues to be the subject of quite significant ongoing development.

Also, with the quality of QuickBooks to integrate with much of the huge ecosystem of third-party software is also great. We obviously use in our core stack QuickBooks, Dext and more recently following an update (Telleroo) is a great step forward for us.

We also like to utilise Approvalmax, Expensify and Float for certain clients – which also integrate with QuickBooks (and Xero)

So What’s NEW in QuickBooks for 2025?
We offer QuickBooks as an option for our clients core finance software for their business for a few key reasons:

  • Ease of Use: The interface is intuitive, even for team members without a finance background. It’s easy to navigate, customise, and scale.
  • Automation & Integration: QuickBooks connects with over 750 business apps from payment processors to inventory tools reducing manual entry and improving accuracy.
  • Report Customisation: Good reporting functionality along with the ability to customise almost all reports fairly quickly and easily (certainly beats Xero on that score)
  • Investment and Development – there is always the sign of a finance software or app that remains core to its owner, and therefore will be around for the foreseeable future (wit continual tweaks and improvements)

QuickBooks has undergone a major transformation this year, introducing a completely refreshed experience powered by Agentic AI

Below are our key takeaways:

1. Intuit AI Agents
QuickBooks now includes three AI agents:

  • Accounting Agent: Flags anomalies, categorises transactions, and keeps your books clean.
  • Payments Agent: Manages bills and speeds up payment processing.
  • Finance Agent: Summarises financial data and helps you stay aligned with your goals.

2. New Business Feed
A central dashboard shows what the AI agents are doing whether it’s reconciling transactions or sending invoices. You can review and approve actions quickly, keeping control while reducing admin.

3. Smart Search
Search for anything—vendors, reports, transactions—using natural language. It’s fast, accurate, and context-aware.

4. Zen Mode
A new full-screen mode helps minimise distractions and maximise focus, especially useful during deep work sessions.

Final Thoughts
The 2025 update isn’t just a facelift it’s a leap forward in the look and feel of the QuickBooks software.

We don’t use QuickBooks, Dext and Telleroo etc because they’re trendy or flavour of the month. We use them because they’re efficient, integrated and built for growing SME Businesses.

If you’re still doing a lot of your bookkeeping manually e.g. inputting purchase invoices manually, making payments one by one via your online banking app etc. then it might be time to rethink your software/tech stack. These tools don’t just save time – they provide you with an opportunity (when used properly) to make better decisions as well.
